Verification Data — We collect and process DOT numbers, business registration information, and address data to verify accounts through third-party services including the FMCSA database and address verification services.
Usage Data — We collect information about how you use the platform including pages visited, features used, and actions taken. This helps us improve the platform.
Communications — When you contact support or send messages through the platform we retain those communications to resolve issues and improve our service.
3. How We Use Your Information
We use the information we collect to operate and improve the platform, verify your identity and business legitimacy, process platform fees and send invoices, send you notifications about bids, deals, and price alerts, provide customer support, comply with legal obligations, and detect and prevent fraud.
We do not use your information to send unsolicited marketing emails beyond platform-related communications. You can manage your email preferences from your account settings at any time.
4. How We Share Your Information
Between platform participants — When you post a listing or place a bid, necessary transaction information is shared with the other party to facilitate the deal. Suppliers see fleet bid details. Fleets see supplier listing details.
Service providers — We share data with trusted third parties who help us operate the platform including Firebase (database and authentication), EmailJS (transactional emails), Stripe (payment processing), and address verification services. These providers are contractually bound to protect your data.
Legal requirements — We may disclose your information if required by law, regulation, legal process, or governmental request.
We do not sell your personal information to third parties for marketing or advertising purposes.
5. Broker Client Protection
Clients registered by broker accounts are given special privacy protections. Their contact information and company details are used exclusively to suppress them from FuelFlow Connect direct marketing. We do not contact, solicit, or market to broker-registered clients under any circumstances.
6. Transaction Data and Market Intelligence
Transaction data generated on the platform — including pricing, volume, and regional activity — may be aggregated and anonymized to produce market intelligence reports and platform analytics. This aggregated data does not identify individual companies or participants. It is used to improve the platform and may be published as general market insights.

We use industry-standard security measures to protect your information including encrypted data transmission, secure authentication with two-factor verification, and access controls that limit who within our organization can access your data. Transaction records are retained for a minimum of 7 years for billing, legal compliance, and dispute resolution purposes even after account deletion.
